Job Description:

Our client is looking to add an experienced Senior Executive SOffice Administrator to their team at a leading Hydro power-processing facility in Galveston. As an Executive Office Administrator, you will play a critical role in ensuring the smooth mangerial operation of the office and day-to-day administrative functions. Your organizational and leadership skills will contribute to the efficient management of daily operations and will provide crucial overall administrative support.

Responsibilities:

  1. Oversee and manage the day-to-day administrative operations of the office, ensuring efficient workflows and adherence to company policies and procedures.
  2. Coordinate and prioritize administrative tasks, including managing calendars, scheduling appointments, and arranging meetings, conferences, and travel arrangements for executives and team members.
  3. Maintain office supplies and equipment, and manage vendor relationships, ensuring cost-effective procurement and timely maintenance.
  4. Assist in the recruitment and onboarding process by coordinating interviews, preparing job offers, and facilitating new employee orientation.
  5. Serve as a point of contact for internal and external stakeholders, handling inquiries, requests, and resolving administrative issues promptly and professionally.
  6. Prepare and proofread various business documents, including reports, presentations, and correspondence, ensuring accuracy and adherence to company standards.
  7. Manage and maintain electronic and physical records, including confidential information, following data protection and privacy regulations.
  8. Support financial operations by tracking expenses, processing invoices, and maintaining financial records, collaborating with the finance department as needed.
  9. Collaborate with cross-functional teams to facilitate effective communication, information sharing, and coordination of projects and initiatives.
  10. Identify process improvement opportunities and implement streamlined administrative procedures to enhance efficiency and productivity.

Requirements:

  1. Bachelor's degree in business administration, office management, or a related field is preferred.
  2. Proven experience as an office administrator or in a similar administrative role, with a track record of effectively managing office operations.
  3. Excellent organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  4. Strong attention to detail and accuracy in completing administrative duties.
  5. Proficiency in office productivity software (e.g., Microsoft Office Suite) and familiarity with office management systems and tools.
  6. Exceptional communication and interpersonal skills, with the ability to interact effectively with individuals at all levels of the organization.
  7. Proactive problem-solving and decision-making abilities, with a solution-oriented mindset.
  8. Strong ethics and the ability to handle sensitive and confidential information with utmost discretion.
  9. Flexibility and adaptability to changing priorities and demands in a dynamic work environment.
  10. Knowledge of wind turbine or renewable energy industry is a plus.

Compensation:

The salary for the Senior Level Office Administrator position is $68,000 per year. In addition to the base salary, a bonus structure is in place, providing an opportunity for additional earnings based on individual and company performance.
